Position - Receptionist

Qualifications:

Education

High school diploma or equivalent; additional education or certification in office administration or customer service is a plus.

Experience

Previous experience as a receptionist or in a customer-facing role, preferably in a healthcare or medical setting.

Familiarity with medical terminology and basic knowledge of eye care is advantageous.

Skills

Excellent interpersonal and communication skills, with the ability to interact professionally and empathetically with patients and staff.

Proficiency in handling phone calls, scheduling appointments, and managing patient inquiries.

Strong organizational skills and attention to detail for managing patient records and office tasks.

Technical Proficiency

Experience with office software such as Microsoft Office Suite (Word, Excel, Outlook) and familiarity with electronic health record (EHR) systems or practice management software.

Ability to operate office equipment including phones, printers, and fax machines.

Customer Service

Demonstrated ability to provide exceptional customer service, handle patient concerns effectively, and manage challenging situations with professionalism.

Skills in maintaining a welcoming and organized front desk environment.

Administrative Skills

Ability to manage multiple tasks efficiently, including scheduling appointments, processing patient information, and handling correspondence.

Experience with basic bookkeeping or billing tasks is a plus.

Professionalism

High level of discretion and confidentiality in handling patient information and sensitive data.

Dependability and punctuality with a commitment to maintaining a positive and efficient office environment.

Adaptability

Flexibility to adapt to varying workloads and to assist in other administrative tasks as needed.

Willingness to work collaboratively with other staff members to support hospital operations.

Responsibilities

Greet patients and visitors in a friendly and professional manner upon arrival.

Answer and direct phone calls, manage appointment scheduling, and handle patient inquiries.

Verify and update patient information, including personal details and insurance coverage.

Manage the flow of patients in the waiting area and ensure a smooth check-in and check-out process.

Assist with administrative tasks such as filing, faxing, and data entry.

Maintain a clean and organized reception area and ensure that patient records are securely stored.

Collaborate with medical staff to ensure that patient needs are addressed promptly and efficiently.
